1. Who is responsible
TripClub Private Limited operates Heal & Rest and is responsible for personal information handled through this website and our travel-planning service. This notice covers the Heal & Rest website, its enquiry forms and related communications. Other websites and platforms have their own privacy notices.
For questions or requests, write to hello@healandrest.com using “Privacy request” in the subject. Company and escalation contact details are provided below.
2. Information collected
The enquiry form asks for your name, WhatsApp number, nationality, intended start date and approximate length of stay. Email is optional. It can also include your wellness goal, destination, property, programme, flexibility, contact preference and any message you choose to provide.
An enquiry record includes a reference and submission time, the page from which it was sent and referral information. Technical delivery and security involve information such as network address, browser request details and server logs. A network address is used to limit repeated form submissions.
If a booking proceeds, our team may separately request passenger names, travel-document details, room arrangements, accessibility or dietary requirements and information needed by the selected suppliers. Payment information is handled through the payment method identified in your booking communication; the initial website form does not collect card details.
3. How information is used
We use enquiry information to understand your request, contact you through your chosen channel, prepare options and quotations, and maintain the correspondence needed to assist you. Booking information is used to arrange confirmed services, communicate changes, handle payments or refunds and support travel.
Technical information helps operate the website, deliver requests, prevent spam and investigate failures or misuse. Records may also be needed for accounting, legal duties or resolving disputes. Sending an enquiry is not a subscription to unrelated marketing.
We rely on the grounds available under applicable law, including your request for a service, steps towards or performance of a booking, consent where required and legal obligations. Where consent is the basis for a use, you may withdraw it by contacting us. Withdrawal does not invalidate earlier lawful processing.
4. Health information and other travellers
A wellness goal or message can reveal health information. Share only what you are comfortable providing for travel planning. Please avoid sending diagnoses, medical reports, passport scans or detailed clinical histories in the initial website form.
The form sends your enquiry to our team’s customer-management system. It does not automatically send your notes to a property. Health information you choose to share is not passed to a property without your agreement. If clinical assessment is needed, we will discuss the recipient and an appropriate communication method with you.
If you provide another person’s details, make sure you are authorised and share this notice with them. Children’s travel should be arranged by a parent or authorised adult; the website’s enquiry service is intended for adults. Contact us if a child has submitted information directly.
6. Retention and security
Retention depends on the purpose of the record: responding to an enquiry, supporting a booking, meeting accounting or legal duties, preventing fraud or resolving a dispute. Information is not retained for an unrelated marketing purpose simply because you made an enquiry. Ask us about the retention of your particular record or request deletion.
We use reasonable organisational and technical measures to protect information and limit access to authorised purposes. No website or communication channel can guarantee complete security. A deletion request may need to be limited where information must be kept for a legal duty, an existing booking, fraud prevention or a legal claim; we will explain the relevant reason.
7. Your choices and requests
You can ask us about the information we hold, request a correction, request deletion, withdraw consent for a consent-based use or ask us to stop further non-essential contact. The rights and exceptions available depend on applicable law. A request to stop contact does not prevent essential updates about an active booking or a legal obligation.
Write to the privacy contact above with enough information to identify your enquiry or booking. We may request proportionate verification before disclosing or changing records. We will respond under applicable legal time limits and explain any permitted refusal or restriction. If you are unhappy with the response, use the TripClub escalation contact below or the competent authority available under applicable law.
8. Updates and related notices
The date above identifies this version. We will update this notice when the service or its data handling changes, and provide additional notice or seek consent where required. The Cookies Policy explains browser storage and external resources. For booking or refund questions, use the Terms & Conditions and Cancellation & Refund Policy.
